LK METROLOGY PRIVACY POLICY

LK Metrology is committed to complying with Data Protection Legislation and more specifically, the General Data Protection Regulation (GDPR), in place from 25 May 2018. Looking after the personal data you share with us is very important, and we want you to be confident that your personal data is kept safely and securely and to understand how we use it.

We have published this notice to help you understand:

  • what information LK Metrology collects from you, why and how this is used;
  • who we share your information with, why and on what basis, and;
  • what your rights are.

LK Metrology will be what is known as the ‘Data Controller’ of the personal data you provide to us, and we will sometimes refer to ourselves in this notice as “we” or “us”. By Data Controller, this means LK Metrology determines the purposes and way in which any personal data is processed.

What information we collect and why

As a customer, supplier or job applicant, we collect your personal data for various reasons as detailed in the below table. This table identifies what personal data we collect from you, along with the lawful basis and our justification for doing so.

We will also gather information about the devices you use to access our sites and this may include IP address. For further information on our use of cookies and tracking, please view our cookie policy.

When you visit our premises, CCTV may be in operation for security monitoring purposes. Where this is the case, signage will be clearly displayed advising you as such.

LK Metrology will not use your personal data for purpose(s) other than the purpose(s) in which we have outlined in the above table.

Our commitments to ensuring the security and privacy of your data

In accordance with the GDPR, we will ensure that your personal data is processed in line with the following principles:

  • processed lawfully, fairly and in a transparent manner in relation to individuals;
  • collected for specified, explicit and legitimate purposes and not further processed in a manner that is incompatible with those purposes; further processing for archiving purposes in the public interest, scientific or historical research purposes or statistical purposes shall not be considered to be incompatible with the initial purposes;
  • adequate, relevant and limited to what is necessary in relation to the purposes for which they are processed;
  • accurate and, where necessary, kept up to date; every reasonable step must be taken to ensure that personal data that are inaccurate, having regard to the purposes for which they are processed, are erased or rectified without delay;
  • kept in a form which permits identification of data subjects for no longer than is necessary for the purposes for which the personal data are processed; personal data may be stored for longer periods insofar as the personal data will be processed solely for archiving purposes in the public interest, scientific or historical research purposes or statistical purposes subject to implementation of the appropriate technical and organisational measures required by the GDPR in order to safeguard the rights and freedoms of individuals; and;
  • processed in a manner that ensures appropriate security of the personal data, including protection against unauthorised or unlawful processing and against accidental loss, destruction or damage, using appropriate technical or organisational measures.

We may disclose personally identifiable information to companies affiliated with LK, such as its parent company, and/or unaffiliated third parties working on our behalf or for us or with us, such as agents, dealers, vendors and suppliers, but only for the purpose to enable them and us to fulfil your requests to us for product, services or information. All such affiliated and unaffiliated parties who have access to personally identifiable information are required to keep confidential such information and may not use it for any purpose other than to carry out the services they are performing for LK and as otherwise required by law. Except as otherwise stated in this policy, LK will not share personally identifiable information with third parties without your permission, unless to (a) comply with any law, subpoena, regulation or court order; (b) respond to requests from governmental authorities; (c) help prevent fraud or to protect the safety, rights, property or security of LK as well as that of third parties”; (d) to help us to meet any contractual obligations placed upon us or (e) to ensure we can carry out or legitimate business interests.

Data will only be transferred with suitable controls and protection, either within the European Union, or to other countries where adequate Data Protection laws are in place.

The Data Protection policies of the third parties mentioned above will be reviewed to ensure that they are compliant with Data Protection legislation, to further safeguard your/our interests.

Automated decisions

As part of the processing of your personal data, decisions may be made by automated means. This means we may use customer (past/present/prospective) data for internal analysis to achieve quality in business processes, i.e. operational or transactional data, interaction data, customer-profile data and demographic and behavioural data may be used as support for automated decision-making, all aimed to create and maintain good business relationships with all types of contacts.

Transfers to third countries

Some of the information you provide to us may be transferred outside the European Economic Area to countries such as the USA where we also operate. This is a transfer to a “third country”. Although your data is held in UK, colleagues in the USA may access it to undertake their duties as an employee of LK Metrology.

LK Metrology also works with suppliers and partners who may make use of cloud and/or hosted technologies. We undertake data security due diligence on our partners and ensure that that these partners have appropriate data security measures in place.

Wherever transfers of data to third counties occurs, LK Metrology will put in place appropriate provisions to ensure that there are strict rules regarding both the confidentiality and security of your information. To find out more, please contact us.

Personal information will be retained by us for as long as is reasonably necessary (or as defined under applicable laws and regulations) to provide products and services, including aftercare services, and to maintain records as required to satisfy tax and other legal or regulatory requirements, as well as to protect and defend against legal claims.

Where we hold your information

We hold your data in a number of different locations, depending on what the data is and what we need to do with it. We may hold your data in one or a combination of the following locations:

  • Electronic filing systems secured on our server
  • Cloud based systems
  • CRM system
  • Marketing Automation Software Solutions
  • Email system – in the event that you contact us via email and an email discussion is saved in our email system
  • Telephones – by storing your contact information in mobile telephone address books

What are your rights

You are entitled to request the following from LK Metrology, these are called your Data Subject Rights and there is more information on these on the Information Commissioners website www.ico.org.uk

  • Right of access –to request access to your personal data and information about how we process it
  • Right to rectification –to have your personal data corrected if it is inaccurate and to have incomplete personal data completed
  • Right to erasure (also known as the Right to be Forgotten)
  • Right to restriction of processing – to restrict processing of your personal data
  • Right to data portability – to electronically move, copy or transfer your personal data in a standard form
  • Right to object – to object to processing of your personal data
  • Rights with regards to automated individual decision making, including profiling –rights relating to automated decision making, including profiling

You have the right to lodge a complaint with the appropriate Data Protection authority for your European country, if you believe that your rights have been infringed.
